Add Signature to PO Form in your Free Purchase Order Software

If you’re emailing Purchase Orders to your suppliers directly from SpendMap, or if you’re just tired of signing your Purchase Orders, you can add an “electronic signature” so that your orders will be signed automatically when printed or emailed…

Start by selecting the following menu in the System Setup section…

Select the [Manage User Signatures] button at the top-right, and then use the icons in the Action column to add signatures for one or more users (the applicable signature will be included when the respective user prints or emails their Purchase Orders)…

    1. Hi Hammad! The Free Version of SpendMap comes with 5 PO form layouts to choose from, but I’m sorry, none of them include multiple signature lines.

But I can think of the following options for you…

Option 1) You could add those “approval signature lines” in the body of the PO, as a comment/description-only line item (use the line item “Type” field, at the top of the PO Line Item Details screen). And if you do this often, consider using the Boilerplate Master File, to save a block of text that you can copy onto each new PO, without typing it out each time. I’m thinking something like…
      ____________________
      John Smith (approver)
      ____________________
      Jane Doe (approver)

      Etc.

Option 2) If you’re the only user, consider upgrading to our Pro Version for just $30/mo. If so, we can create a custom PO form for you, with multiple signature lines at the bottom. Email me at free-procurement@spendmap.com and I’ll send you a coupon to get that custom PO done for free 🙂

Option 3) Consider using the Requisitions and Approvals Module in the Pro Version. While this might mean additional user licenses (e.g. for one or more approvers), it may be worth it so that the Approvers can do their thing online or via email, as opposed to sending a PO document around for signatures.

I hope this helps. If you have additional questions, feel free to log a support ticket here…
